The holiday season is upon us, and it’s time for many businesses in the Portland area to start planning their end of the year parties and celebrations. Obviously, music is a big part of any company party, and that’s why hiring a corporate DJ can make the difference between a lackluster or an unforgettable evening. But there’s more to a great party than just music, and that’s why we’ve compiled this checklist for corporate event planners that will help ensure that you have all your bases covered.

Step One: Put together a planning committee

It’s hard to plan a good corporate event by yourself. That’s why before any decisions get made, you’ll want to put together a team to do all the preparations together. While it might be tempting to involve as many people as possible, a small team with clearly defined roles might be more efficient.

Bringing in outside help can also make sense. A good corporate DJ does more than just play music. They will be able to provide lighting and audio equipment, take pictures and set up a photo booth, and even create an awards ceremony or other visual presentation.

Step Two: Pick your date ahead of time

It should go without saying, but if you wait until the last minute to plan your party, you’ll be scrambling to get everything done, not to mention, plenty of your employees will probably already have plans. The holidays are busy for everyone, and if you want everyone to be at your event, make it easy by giving them ample advanced notice of when it’s going to be held.

One option you might want to consider is sending out a survey a couple months before hand to solicit feedback on which date and time will be most convenient for the entire team. Another good idea is to send a save the date announcement as soon as you have confirmed date.

Step Three: Select your outside vendors

Not everything can be done in house. In fact, you may even decide to host your party at a separate venue, whether at a restaurant, hotel conference space, or someplace more unique. They may even be able to provide food and AV equipment for your party.

Wherever you decide to host your holiday party, making sure you have the right caterer is essential. Food and beverages will likely be one of the most important factors as to whether your event will be a success. Other considerations include whether you want a buffet or a plated meal, and how much (if any) alcohol you want to serve.

Finally, no party is complete without music. A corporate DJ can help set the mood and help create top-notch presentations for award ceremonies, speeches, and the like.

Step 4: Decide on a theme for your event

Having a theme can help set your event apart. It might include some sponsored activities, such as ice skating or a gift exchange, involve costumes or a suggested dress code (formal or casual), and can even include a fundraising component or a talent show. How To Plan Your Wedding Timeline

When it comes to planning a wedding, one of the most important aspects is the event timeline. This is necessary to keep everybody on schedule and make sure nothing gets lost in the shuffle. Here at DJ Cutt Entertainment, we understand the importance of preparation. That’s why we have our own online planning form for you to use with the specific times that we need to know. On your wedding day we will try our hardest to hit these specific events at the specific times. However, we approach the entire day with a commitment to flexibility, because we know many things can run late (or early) during the actual event. Often times, you won’t know what time the day should start but you have a hard out when the event must end. Our approach is to plan the timeline in reverse so that way you know exactly what time to start your event versus just trying to guess. Many venues have a hard cut off time that you have to be out by and a time that the vendors have to be out by as well. What time do weddings typically end? After DJing weddings the past 15 years in Oregon and Portland, the average end time is somewhere between 9:30 and 10. We have had weddings go till at least 3 in the morning but 90 to 95% of weddings and at this time.
